Privacy Policy

This policy explains what information CompuBotics LLC, trading as Computer Robotics ("Computer Robotics", "we", "us"), collects, why, and what we do with it. It covers our website at compubotics.tech and our business software, Computer Robotics - ERP (the "ERP").
Who we are

Our website
- Contact form. When you send us a message we receive the name, email address and message you enter. We use them only to reply to you. The message passes through Google Cloud, which delivers it to our inbox.
- Analytics. The site uses Google Tag Manager and Google Analytics to count visits and see which pages are useful. These services set cookies and receive technical data such as your browser, device and approximate location. You can block them with your browser's cookie settings or an analytics blocker without losing any part of the site.
The ERP
The ERP is run for each customer business as its own separate installation. The business that uses it decides what is entered into it — its contacts, items, invoices, payments, stock, employees' user accounts and similar records. For that data the customer business is in charge, and we process it on its behalf, only to provide, support and secure the service.
- User accounts: name, email address, password (stored only as a one-way hash) and role.
- Business records: whatever the customer enters or uploads, such as invoices, receipts and scanned documents.
- Security and audit records: sign-ins, failed sign-in attempts and a log of who changed or viewed business records. These records are kept for the life of the installation, because they are what lets a business prove its books were not altered.
- Error and performance reports: when something fails, technical details of the failure are sent to monitoring systems that we host ourselves. They are used only to find and fix faults.
- Cookies: only what is needed to keep you signed in and to recognise your device. No advertising cookies.
Desktop app downloads
The installer files for our desktop app are kept in Google Drive storage that belongs to Computer Robotics, and are downloaded from there through the ERP. Nothing else is stored there: no business records, documents or personal data. We never ask you to connect your Google account, and we have no access to it.
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Who else handles the data
We use a small number of service providers, only as far as needed to run the service:
- Google — hosting the desktop app installers (Google Drive), the website contact form and website analytics.
- Our hosting provider — the servers the ERP runs on.
- Email delivery — to send account emails such as invitations and password resets.
We never sell personal data.
Keeping data safe
Connections are encrypted, passwords are hashed, access inside the ERP is limited by role, and every change to business records is logged. Each customer's data is kept apart from every other customer's.
How long we keep it
Business records stay as long as the customer uses the ERP and for any period the law requires for accounting records. When a customer stops using the ERP, we return or delete its data on request. Contact-form messages are kept as long as needed to deal with your enquiry.
Your choices
You can ask us to show you, correct or delete personal data we hold about you by writing to info@compubotics.tech. If your data is in the ERP because a business you work with uses it, we will pass your request to that business, since it decides what is kept.
Changes
If we change this policy we will update the date at the top of this page. Significant changes will be announced to ERP customers before they take effect.
